Three Store Layout Templates to Choose From
Your School Spirit offers three professionally designed store layout templates to match your school's style and preferences. Each template features clean, user-friendly navigation and mobile-responsive design, but with distinct visual approaches to showcase your school's spirit wear. All templates include the same powerful functionality - custom branding and seamless checkout experience.
Four Apparel Brand Packages to Choose From
Schools may choose from four different apparel brand packages, each featuring products from specific manufacturers to match budget and quality preferences. Package changes are permitted once per school year during the annual re-qualification period. Changes must be requested between May 1st and July 15th for the upcoming school year. This timeline ensures adequate preparation time for store updates and product transitions.
Written requests must be submitted during the designated change period (May 1st to July 15th). New package selection becomes effective August 1st (start of new school year).
Package changes are not available during the active school year (August - May). Emergency situations or special circumstances will be evaluated individually. Schools are encouraged to carefully consider package selection as it affects the entire school year.
Price Adjustments Due to Manufacturing Costs
Product prices on Your School Spirit platform are subject to change based on our manufacturing partners' pricing. When our vendors increase their costs, these changes will be reflected in the retail prices of affected products to maintain business sustainability. Your school's profit remains unchanged in the event of a price increase or decrease. Price adjustments will take effect immediately upon vendor notification. Orders already in production will maintain their original pricing; only new orders placed after the adjustment date will be affected. No advance notice period is provided for manufacturing cost increases.
Rush Orders Not Available
Your School Spirit does not offer expedited or rush order services. All orders follow our standard production and shipping timeline to ensure quality and manage costs effectively. Customers can expect their orders to be shipped within 7 business days of placing the order. We cannot accommodate requests for faster production or shipping. Additional fees cannot be paid to expedite orders. Emergency situations do not qualify for expedited service.
No Penalty Partnership Cancellation
Schools may cancel their Your School Spirit partnership at any time without financial penalties or cancellation fees. Once written notice of cancellation is received via email, your white label store will be deactivated within 5 business days.
Any pending orders will be completed and fulfilled as scheduled. Final profit payments will be processed according to standard payment schedules.
All custom designs and store setup remain the property of Your School Spirit. Schools retain their rights to their logo and branding.
Due to the significant resources invested in building custom white label stores, schools that cancel their partnership will generally not be eligible for new store creation in the future. Each situation will be evaluated individually, but preference will be given to new school partners.
This policy ensures we can continue investing our resources in committed, long-term partnerships. Before cancelling, schools are encouraged to discuss concerns or challenges with our team.
Custom Design Requests
Custom artwork creation falls outside our standard design packages and requires significant creative resources from our design team. Custom design requests are evaluated on a case-by-case basis, as not all custom design requests can be accommodated due to resource limitations. Priority is given to schools with a strong performance history.
Custom design requests must be submitted in writing with detailed specifications. All custom designs require additional fees that are determined based on design complexity, revision requirements, and timeline. Payment for custom artwork is required upfront before design work begins and remains the property of Your School Spirit upon completion.
No Territorial Restrictions
Your School Spirit welcomes partnerships with multiple schools within the same district, city, or geographic area. Each school receives their own unique white label store with their school’s branding and design selections.
Every school has distinct logos, colors, and branding identity. Further, schools select their own core designs from our catalog for their specific store. This allows each school to reflect their own unique personality and community. Therefore, we do not offer exclusive agreements or territorial limitations.
Performance Expectations
All Your School Spirit partnerships require active engagement and sales performance to maintain store operations. We invest significant resources in store maintenance, hosting, and support services. School performance is evaluated during annual re-qualification (May 15-July 15). Schools must demonstrate meaningful sales activity and community engagement. Consecutive periods of zero or minimal sales trigger performance review.
Schools with no sales activity for 6 consecutive months will receive a performance warning. Schools have 60 days from warning notice to generate sales activity or provide an improvement plan. Failure to meet minimum activity requirements results in store suspension. Suspended stores may be reactivated upon demonstrated renewed engagement.
Design Ownership & Rights
All custom designs, artwork, and creative materials created by Your School Spirit become the exclusive property of Your School Spirit upon completion, regardless of partnership status.
Schools grant Your School Spirit permission to use their official logos, mascots, and school names for store creation and promotional purposes. Schools are responsible for ensuring they have rights to any logos or imagery they provide. Your School Spirit is not liable for trademark or copyright infringement related to school-provided materials. Schools may not request use of copyrighted characters, professional sports logos, or trademarked materials without proper licensing.
All designs in our catalog remain Your School Spirit property. Custom designs created for specific schools become part of our design catalog for potential future use. Schools receive unlimited usage rights for designs on products purchased through their Your School Spirit store. Schools may use designs in their own marketing materials (flyers, social media) to promote their fundraising campaigns
Schools retain rights to use designs only on products they have already purchased. Schools may not reproduce, modify, or create new products using Your School Spirit designs after partnership termination. All design files, artwork, and creative materials remain Your School Spirit property. Schools may not share design files with other vendors or manufacturers.
Schools cannot sell or license Your School Spirit designs to other organizations. Designs cannot be modified or altered without written permission. Commercial use outside of approved school fundraising is prohibited. Reverse engineering or recreating designs is not permitted.
Minor modifications to artwork (color changes, text updates) are available within standard packages. Major design changes or custom artwork require additional fees and approval. All modifications become Your School Spirit property upon completion.
Quality Standards & Defective Products
Your School Spirit partners with experienced manufacturing vendors to ensure consistent quality across all products. However, if quality issues arise:
Defective Product Resolution:
Report defective items within 30 days of delivery with photos of the defect. Defects include: significant printing errors, damaged garments, incorrect sizing, or color variations beyond normal production standards. Manufacturing defects will be replaced at no cost to the school or customer. Replacement items follow standard production timelines.
What Does NOT Quality as Defective:
• Minor color variations between screen display and actual product
• Normal fabric texture differences between garment styles
• Slight variations in print placement (within industry standards)
• Customer dissatisfaction with fit or style preferences
Color Matching & Screen Display Color Accuracy Disclaimer:
Colors displayed on screens may vary from actual printed products due to monitor settings and printing processes. We use industry-standard color matching, but exact color replication cannot be guaranteed. Schools should communicate potential color variations to customers at campaign launch. Color concerns must be reported within 7 days of delivery for evaluation.
Size Chart Responsibility Sizing Guidelines:
Size charts are provided for all garments and reflect manufacturer specifications. Schools are responsible for communicating size chart information to customers. Your School Spirit is not responsible for sizing dissatisfaction when items match published size charts.
Order Accuracy & Fulfillment Order Processing:
All orders are reviewed for accuracy before production begins. Changes to orders cannot be made once production has started. Production timelines begin after order confirmation and payment processing.
Lost or Damaged Shipments Shipping Protection:
All orders are tracked and insured through our shipping partners. Report missing or damaged shipments within 48 hours of expected delivery. Your School Spirit will initiate claims with shipping carriers for lost or damaged packages. Replacement orders for confirmed lost shipments follow standard production timelines. Schools and customers are not financially responsible for confirmed shipping carrier errors.
Delivery Completion & Responsibility Transfer
Your School Spirit's responsibility for order fulfillment ends upon successful delivery to the address provided by the customer. Your School Spirit is not responsible for packages stolen after delivery confirmation. Theft, loss, or damage occurring after carrier delivery is not covered by Your School Spirit. Customers assume full responsibility for packages once delivered to their specified address.
All shipments include tracking information and delivery confirmation. Delivery confirmation from the shipping carrier constitutes proof of successful fulfillment. Customers are responsible for monitoring tracking information and arranging package receipt. Choose secure delivery locations or arrange to be present during delivery windows. Consider delivery to workplace or alternate secure address if home delivery poses theft risk. Contact shipping carrier directly for delivery-related concerns.
Stolen packages will not be replaced at Your School Spirit's expense. Customers may place new orders at full price if items are needed. Schools should communicate this policy to supporters during campaign promotion
Customer Service & Communications
Your School Spirit is committed to providing timely, helpful support to all school partners and their supporters. Preferred communication is by email. We attempt to answer all email inquiries within 24 hours during business days.
Business Hours
- Monday - Friday: 9:00 AM - 5:00 PM Central Time
- Weekend and holiday responses may be delayed until next business day
- Peak season (back-to-school, holidays) may extend response times slightly
Communication Channels
- All official communications come from verified Your School Spirit email addresses
- Schools receive dedicated contact information for their partnership manager
- Customer support tickets are tracked for follow-up and resolution
Issue Escalation Procedures
Level 1 - Standard Support
- Product questions, order status, general inquiries
- Handled by customer service team with standard response times
Level 2 - Partnership Issues:
- Campaign problems, policy questions
- Escalated to partnership management team
- Response within 1 business day with resolution timeline
Level 3 - Executive Review:
- Serious service failures, partnership disputes, policy exceptions
- Reviewed by Your School Spirit leadership
- Response within 2 business days with comprehensive resolution plan
Holiday & Seasonal Support Reduced Availability Periods:
- Major holidays: Limited support with emergency-only responses
- Summer months (June-July): Standard support during store transition period
- Peak seasons: Extended hours when possible, but response times may increase
Advance Notice:
- Schools receive notification of any planned support interruptions
- Holiday schedules posted on partner portal and communicated via email
- Emergency contact information provided for urgent issues during closures
Communication Standards Professional Standards:
- All communications maintain friendly, professional tone
- Clear, jargon-free language appropriate for school administrators and parents
- Timely acknowledgment of all inquiries, even if full resolution takes time
Documentation:
- Important communications are documented in partnership records
- Policy clarifications and decisions are recorded for consistency
- Schools receive written confirmation of significant changes or agreements
Email List Ownership
All customer email addresses, contact information, and supporter data collected through Your School Spirit stores remain the exclusive property of Your School Spirit. Contact lists and customer data is not exported, shared, or transferred to schools. Email addresses remain Your School Spirit property regardless of partnership status. Customer email lists will never be sold, shared, or transferred to third parties.
Schools receive sales reports and order summaries without customer contact details. Individual customer information is not provided to school partners. Schools cannot request email lists for their own marketing purposes. Customer contact information remains confidential and protected.
Usage Rights
Your School Spirit may use customer email addresses for order updates.
